the issue is that

i was next to my training coordinator and i started the study on Sept 2010 and finished the first semester on Jan 2011

when he added the start date and end date, directly it is shown on the system OOP

if the policy stating that after one year, it requires VP approval, i have not taken a year and it shows OOP

pls advise
